These Terms & Conditions apply to all bookings made directly through the Cosy Huts website. Please read them carefully before confirming your reservation.

By making a booking, you agree to the terms outlined below on behalf of all members of your party.

1. Bookings & Payments

• A booking is secured upon receipt of full payment.

2. Cancellation Policy

Cancellations More Than 30 Days Before Arrival

• Guests who cancel 30 days or more before arrival will be charged 50% of booking if dates are rebooked. 

• If the cancelled dates are successfully rebooked, guests will be offered the option to transfer their stay to an alternative date within 6 months, subject to availability.

• If the dates are not rebooked, no refund will be issued.

Cancellations Within 30 Days of Arrival

• All cancellations made within 30 days of arrival are non-refundable.

• Bookings cannot be transferred to alternative dates within this period.

3. Travel Insurance

• We strongly recommend that all guests obtain travel insurance to cover cancellations, illness, travel disruption, or other unforeseen circumstances.

4. Changes To Bookings

• Amendments to bookings (including date changes) may be possible outside of the 30-day period, subject to availability.
• An administration fee of £25 may apply.

5. Transferring A Booking

• Bookings may be transferred to another guest with prior notice.
• The original guest remains responsible for the booking and any associated liabilities.

6. No Shows

• Guests who fail to arrive or check in will be charged in full and will not be eligible for a refund.

7. Arrival & Departure

• Check-in is between 3:00pm and 8:00pm.

• Late arrivals must be arranged in advance but flexibility is taken into consideration.

• Arrivals after 10:00pm are not permitted and will be treated as a non-arrival (no refund issued).

• Check-out is by 10:00am on the day of departure.

Guests are asked to leave the hut clean, tidy, and in a reasonable condition.

8. Cancellations By Cosy Huts

In the unlikely event we need to cancel your booking, you will be offered:

• A full refund, or

The option to transfer your stay to an alternative date within 6 months.

9. Weather Policy

As Pentlands Shepherds Hut is an all-season retreat, cancellations due to weather conditions are not eligible for refunds.

10. Guests & Occupancy

• The hut accommodates a maximum of two adults.

• The lead guest must be at least 18 years of age.

• Only guests named on the booking are permitted to stay.

11. Behaviour

Guests are expected to respect the peaceful rural setting.

• Excessive noise or disruptive behaviour will not be tolerated.

• We reserve the right to terminate a stay without refund if necessary.

12. Damage & Breakages

• Guests are responsible for any damage caused during their stay.

• Any breakages must be reported promptly.

• Minor accidental damage is not usually charged, but significant damage may incur costs.

13. Safety & Liability

• The hut is located in a rural setting with uneven terrain, wildlife, and natural hazards.

• Guests stay at their own risk and are responsible for their safety.

• We are not liable for loss, damage, or injury unless caused by proven negligence.

14. Pets

• No pets are permitted due to the surrounding environment and livestock.

15. Visitors

• Day visitors are by prior arrangement only.

• Facilities are for registered guests only.

16. Personal Property

• Guests bring personal belongings (including bicycles) at their own risk.

• We accept no responsibility for loss, theft, or damage.

17. General Conditions

• Shepherds Hut is strictly non-smoking.

• We reserve the right to access the hut (with reasonable notice where possible) for maintenance or safety purposes.

• Guests with limited mobility are advised to contact us prior to booking to discuss suitability (see Access Statement).

18. Complaints

• Any issues must be raised during your stay to allow us the opportunity to resolve them.

• Complaints raised after departure may not be considered.
